case study
The ICON system has been implemented for ASDA
to provide specification data for all equipment and fixture items
ordered for an ASDA store. This web-based system provides cost information
for all equipment items and model cost plans for different sizes
of ASDA stores, as well as brand variations such as George and ASDA
Living.
The system has intelligent store planning CAD
blocks for equipment items, which in turn facilitates automatic
shelving profiling and costing of plans. Users can log in to see
the information they need, including shelving profiles and best
practice documents.
In addition, users can view a store rollout
programme and track progress and can also generate a suite of reports,
to a chosen specification. Specific user access permissions are
set by job function, giving users a relevant view of the data.
The system runs on a standard Web browser with
no requirement for browser plug-ins. It is hosted at a data centre
connected to the internet directly on diversely routed fibre connections
with bandwidth up to 4.5GB/s supported by UPS and generator back
up power and multiple redundant air conditioning systems.
Why a web-based system was chosen
ASDA chose to implement the ICON web-based system,
as it allows them to have single location where all the specification
and cost data is stored. One advantage that the web-based system
offers is that both internal colleagues and external suppliers can
access this information from anywhere. It also means that as all
the information is stored in one place, there is only one version
of the truth, i.e. everyone has access to the same, correct information,
meaning less confusion which could potentially lead to mistakes.
The ICON system also allows emails to be generated
automatically, whenever a change within the system has taken place.
This informs all specified users, allowing a consistent level of
communication. User permissions can also be set within the system,
allowing individuals to only access the information that is relevant
to them.
As well as an easy navigation system, there
are also simple search functions, which allow users to locate information
quickly and efficiently.
Changes to information within the system can
be implemented speedily, as they can be approved electronically
by key stakeholders. This means that the model cost plans are always
accurate and up-to-date, as is the specification information. Changes
are notified to all users and can also be tracked, allowing users
to monitor the modifications.
The system retains specification historical
data on obsolete equipment items, so that should it be needed, it
can be accessed quickly and efficiently. Due to the system allowing
different users to access information within their permission levels,
suppliers are able to log in and view their own equipment information,
making the system useful at all levels of the supply chain.
Stakeholders are able to create scheme specific
cost plans online, which can then be downloaded or uploaded as appropriate,
rather than being sent by email.
The system is on a flexible platform, making
it easy to increase the functionality of the ICON system.
The benefits achieved by all parties using the solution
The ICON system provides a number of benefits
to the users at ASDA, primarily offering a platform for consistent
information, which can be instantly accessed and used by all internal
and external colleagues to cost and implement store development
schemes.
The costs are always up-to-date to the latest
change and the system allows a running total of all fixture costs
so managers can see ongoing cost savings, week on week. This allows
a much improved accuracy of scheme costs and model costs, making
it easier for ASDA to calculate annual savings. This saves them
both time and money in costing a scheme. It also means that there
is a reduction in wastage and also more confidence in ordering the
correct items for a particular store development.
The final benefit that the system offers is
the central support by ICON. The information input saves a lot of
time and staffing for ASDA and the ongoing support means that any
queries, changes, or problems can be assessed and solved quickly,
again allowing ASDA to make more efficient use of their time.
Evidence on the success of the solution
The ICON system has been used in ASDA since
June 2004 and is now used by 638 internal and external colleagues.
Additional functionality has been added each year, as different
areas of the business have seen the benefits the system can bring.
The costing functionality is used on around
70 schemes per year and there are 1300 intelligent blocks and 2500
profiles. The specification and costs from the system are also used
to populate the store ordering catalogue.
